Private Labeling & Packaging

Labels and packaging turn a manufactured cap into a branded product ready for sale. They also carry information that customs, retailers and consumers expect to find. This page explains the options and the decisions that affect cost, minimums and timing.

Inside labels

Inside labels are sewn into the cap during production, usually at the rear seam or into the sweatband. They are the first sign of a private label product and the place where required information is printed.

Most programs use one woven main label and one printed care and composition label. Size labels are added for fitted caps.

Required label content

Labeling requirements depend on the market where the caps are sold, not where they are made. You are responsible for confirming the content your market requires; the tech pack records it so it is printed correctly.

  • Fiber composition, using the terminology required in the destination market.
  • Care instructions, as text or symbols.
  • Country of origin, as stated on the quotation and shipping documents.
  • Brand name and, where required, the responsible company and address.
  • Size, for fitted or multi-size programs.
  • Batch or style code, if you use one for traceability.

Country of origin on labels must match the commercial documents. It is confirmed on the quotation and repeated on the shipping documents described on the international orders and delivery page.

Woven labels and printed tape are produced by specialist suppliers, so they need their own production slot before bulk sewing starts. Approve label artwork at the same time as the tech pack. Late label changes are one of the most common reasons for a delayed bulk start, because a cap cannot be finished without its labels.

Hangtags, stickers and trims

Retail caps usually carry a hangtag and often a brim sticker. Promotional and corporate caps often skip both.

  • Hangtag: printed card attached with a string, loop or safety pin, carrying brand story, barcode and price area.
  • Brim sticker: a sticker on the top or underside of the brim, common on snapbacks and fitted caps.
  • Barcode labels: EAN or UPC codes supplied by you, printed on the hangtag or a separate sticker.
  • Size stickers: for fitted caps, often on the brim or sweatband.
  • Spare buttons or care cards: occasionally added to premium programs.

Hangtags are printed items with their own artwork approval. Supply print-ready files with bleed, the paper weight or finish you want, and the attachment method. A hangtag attached through an eyelet or the strap behaves differently from one attached at the sweatband, so state the position as well.

Barcodes and retailer-specific labels should be specified before sampling. If your retail partner has its own labeling rules, share them with the inquiry. The retail private label page explains typical retail requirements.

Individual packaging and cartons

Packaging protects the cap shape in transit and, for retail, presents the product. The choice affects cost, carton volume and therefore freight cost.

Structured caps keep their shape best when nested in small stacks of the same style. Unstructured caps and beanies pack flat and need less space. Ask for the packing method and carton count on the quotation, as they drive freight volume.

Recycled and reduced packaging

Recycled polybags, paper hangtags without lamination and reduced packaging are common requests. State them in the RFQ. Availability, any certification claims and their documentation are confirmed per material.

Corporate and promotional programs

Programs for events or company uniforms rarely need retail packaging. Bulk packing in polybags by size or department keeps cost and carton volume low, and a simple inside label with the program logo is often enough. If caps are distributed to individuals, ask for packing by recipient group so cartons can be handed out without repacking. The corporate buyers page covers typical requirements.

Carton marking and assortments

Outer cartons are marked so your warehouse or distributor can receive goods without opening them. Common marks include purchase order number, style and color, quantity per carton, carton number, gross and net weight and country of origin. If your logistics provider requires a specific shipping mark or label format, send the template before production.

  • Solid packing: one style, color and size per carton, the simplest to receive.
  • Assorted packing: a mix of colors or sizes per carton, useful for store deliveries but slower to pack and check.
  • Distribution packing: cartons split by destination, when one order is delivered to several locations.

Accurate carton weights and dimensions are also needed for freight booking and customs. They are recorded on the packing list once packing is complete, and estimated earlier from the packing method so transport can be planned.

Questions buyers ask

Who is responsible for the content of care and composition labels?

The buyer confirms what the destination market requires. The agreed content is recorded in the tech pack and printed accordingly.

Can you apply our barcodes and retailer labels?

Yes. Supply the barcodes and any retailer label templates before sampling so they are included in the tech pack and packing instructions.

Do individual boxes affect the minimum order?

Often, because printed boxes are produced by packaging suppliers with their own minimums. How this applies to your order is confirmed on the quotation.
